Privacy statement

What data I collect
Depending on how you interact with my practice (booking a session, filling in an intake form, signing up for my newsletter, or contacting me), I may collect:
- name and contact details (email address, phone number)
- date of birth
- emergency contact details
- data about your health
- information about your counselling question, goals, and personal situation (relationships, children, work)
- payment and invoicing details
- any information you voluntarily share with me in sessions or in writing
Why I collect this data
- to offer a personalised counselling process tailored to you
- to schedule and manage appointments
- to communicate with you about our work together
- to send invoices and handle payment
- to send my newsletter, if you have subscribed to it
- to meet legal and administrative obligations (for example, bookkeeping requirements under Dutch law)
I only process the data necessary for these purposes, and only with your consent, which you give when signing my declaration of consent before we begin working together.
How long I keep your data
I keep client file data for as long as necessary to provide you with counselling support, and for up to 5 years afterward, in case you return or in case I need it for legal or safety reasons. Financial records (such as invoices) are kept for 7 years, in line with Dutch tax requirements. Newsletter subscriber data is kept until you unsubscribe.
Who has access to your data
Your data is only accessed by me. I do not sell, rent, or share your personal data with third parties, except:
- where required by law
- where necessary to protect your safety or the safety of others
- with service providers who support my practice (for example, my email newsletter platform or invoicing software), who are contractually required to handle your data securely and only on my instructions
Where your data is stored
Your data is stored securely in password-protected digital files and systems, including my practice management tools and cloud storage. I take appropriate technical and organisational measures to protect your data against loss or unauthorised access.
Cookies
My website may use functional and analytical cookies to help it run properly and to understand how visitors use the site. You can disable cookies through your browser settings.
Your rights
Under the GDPR (AVG), you have the right to:
- access the personal data I hold about you
- correct inaccurate data
- request deletion of your data
- object to or restrict the processing of your data
- withdraw your consent at any time, by emailing upeka@upekaeriksen.com
- file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), if you feel your data has not been handled appropriately
